JD Edwards Address Book Purging: FAQs

Share on :
JD Edwards Address Book Purging: FAQs
Purging the JD Edwards EnterpriseOne Address Book can be more complex than it first appears. Address Number (AN8) is used throughout JD Edwards, which means Address Book records shouldn’t be removed without considering the associated data.
A recent article by JD Edwards Consultant Jeanne Robbins, published in JDEtips Knowledge Express, explores this challenge in detail and shares practical experience of using Purge-it to make the process more manageable.
Inspired by the questions raised in the article, we've answered common questions around Address Book purging, archiving and recovery below.

Frequently Asked Questions

1. Why is purging the JD Edwards Address Book so complicated?

The JD Edwards Address Book is closely connected to data throughout EnterpriseOne. The Address Number (AN8) links Address Book records to associated Address Book information and is used across master, transactional, ledger, balance, batch, purge and historical tables. The article notes that AN8 occurs in more than 1,000 tables.

This means organizations should consider the related data before removing an Address Book record. Deleting Address Book records first can result in data integrity problems and missing Address Number errors.

2. How do you decide which JD Edwards Address Book records are ready to purge?

There isn't a single rule that applies to every organization. The article recommends establishing clear purge criteria and considering your organization's own data retention requirements. Criteria might include Search Type, Category Codes, transactional activity or combinations of criteria.

For customers, relevant information might include the last invoice and receipt dates.
For suppliers, the last voucher and payment dates can be considered.

3. Why can't I simply purge F0101 in JD Edwards?

The Address Book table, F0101, doesn’t exist in isolation. The standard EnterpriseOne Address Book purge checks other tables for the Address Number before allowing the Address Book record to be purged. If the Address Number still exists in one of those tables, the record will not be purged.

The wider issue is therefore not just removing F0101 records. Related master, transactional and historical data needs to be addressed as part of the overall purge process.

4. Should JD Edwards data be archived or permanently removed?

That decision should form part of your organization's data lifecycle and retention strategy. Some data may be suitable for permanent removal, while other historical data might no longer need to be retained in the production environment, but it may still need to be accessible.

Purge-it supports both approaches, allowing data to be archived or removed completely according to the organization's requirements.

5. What happens if we need data after it has been purged?

With the traditional approach described by Jeanne Robbins, recovery can require locating backup copies of tables and manually restoring the Address Book data and associated transactions.

With Purge-it, previously purged data can be recovered through the Purge-it Enhanced Dashboard. In the author's experience, this reduced recovery from hours to minutes.

6. How does Purge-it make JD Edwards Address Book purging easier?

The article describes a Purge-it Custom Extension Pack specifically for the Address Book. The Purge-it process checks related tables before the Address Book is purged and enables associated Address Book tables to be included within the purge process. Examples given include Who's Who, Contacts, Phone and Electronic Address information.

7. How can organizations reduce the risk of purging the wrong Address Book records?

The process described in the article includes establishing clear purge criteria:

  • Record counts before processing
  • Validate the records and related information
  • Test in a staging environment
  • Run in Proof Mode
  • Review errors
  • Obtain approval before Final Mode.

Purge-it adds another important consideration: the ability to recover previously purged data through its Enhanced Session Dashboard.

8. Should Address Book purging be a one-off project?

Not necessarily. The article recommends treating purging as a repeatable activity rather than waiting until it becomes an enormous undertaking. It suggests working progressively through system, table name, search type or another structure appropriate to the organization, while recognizing dependencies between tables.

10. When should we start preparing records for an Address Book purge?

Address Book purging works better as a planned process than as a last-minute exercise.

The article recommends identifying candidates ahead of time so the necessary transactional purges can be completed before the Address Book records are processed.

9. What role does validation play in a JD Edwards purge?

Validation plays a significant role. The article recommends validating that records meet the agreed purge criteria and confirming that required master, transactional and historical data has been addressed.

Review Proof Mode results and errors in Production before proceeding to Final Mode.
